Getting started

Do we need engineers or a technical team to build with ProcessCoach?

No. You describe a process in plain language — or upload an SOP you already have — and ProcessCoach turns it into a reusable skill for you. For deterministic processes, you can build out your process like a flowchart. You bring the industry knowledge and the judgment; the platform handles the build. When a client needs something more custom, the Robosource team is happy to help.

How long does it take to get a client live?

It depends on the process, but because you start with a single workflow and reuse it across clients, the first one sets the pace and every client after that goes faster. Most partners begin with one high-value process, prove it, then expand from there. You can also get immediate ROI by using our AI Skills Marketplace. We'll map a realistic timeline with you on a call.

What does implementation look like for a new client?

You capture the client's process — or reuse one you've already built — connect the tools they run on, and deploy it into their own isolated workspace, customized to their terminology and data. They get the outcome; you own the relationship. Improve the underlying process once and every client benefits.

How it works

What's the difference between deterministic and goal-driven workflows — and when do I use each?

Deterministic workflows run the exact same way every time, step by step and fully auditable — built for regulated or compliance-sensitive work. Goal-driven workflows pursue an outcome and adapt along the way, inside the guardrails you set — built for work that needs judgment rather than a fixed script. You choose per process, with the same platform and controls either way.

What can ProcessCoach connect to?

The work happens inside the systems your clients already run — Salesforce, HubSpot, Monday, Asana, Google Workspace, Microsoft and Outlook, Slack, QuickBooks, Workday, and thousands more. Wherever an API exists, we can build a connector, so a workflow can read from and act across a client's entire stack.

Can we switch AI models, and who controls the cost?

You do. ProcessCoach isn't locked to one AI — switch between hundreds of models in a click and never depend on a single vendor. You also set the rules the AI runs under, including a hard spending cap on every workflow, so costs stay predictable.

Can our clients interact with ProcessCoach directly?

Yes. Clients can talk to it like a team member — for example, asking in Slack, “What invoices are more than 10 days overdue as of today?” — and it runs your process against their own connected systems and reports back.

IP & security

Who owns the process and the IP?

You do. The process and methodology powering the agent stay locked to you — your clients get the outcome, not the recipe. Improve it once and every client benefits, and you can export everything whenever you want.

Is each client's data isolated?

Yes. Every client runs in their own secured tenant, and their data never mixes with anyone else's.

How secure is ProcessCoach?

Robosource maintains an information security program that includes access controls with multi-factor authentication on critical systems, regular software updates and endpoint protection, encrypted laptops and secure cloud storage, a documented incident response procedure, and regular data backups with recovery planning. Robosource follows OWASP application security practices and incorporates NIST Framework principles.

Do you outsource security functions to third-party providers?

Yes, Robosource leverages enterprise security providers for specialized functions: Auth0/Okta for authentication; Vercel/Azure for infrastructure security; and third-party firms for regular penetration testing. All providers maintain SOC 2 and relevant compliance certification.

Can we customize ProcessCoach for our clients?

Absolutely. You can build industry-specific plays, job descriptions, assets, and integrations. This customization is part of the value you're selling. You can also rebrand ProcessCoach to use your colors and logo.

How is this different from us just recommending ProcessCoach?

As a partner, you're implementing it, customizing it, and co-branding it. You own the relationship and the revenue. You're not just recommending a tool — you're delivering a solution. More interested in becoming a referral partner? Schedule a meeting — we may be able to work something out.

What if our clients need support?

You'll be able to answer many questions, but they also get direct access to ProcessCoach support. You're the trusted advisor and implementation partner; we're the platform support team.
